Welcome to the official online booking utility (hereinafter referred to as “Platform”) for accommodation packages related to the 12th WIKF Global Cup 2026 held in Athens, Greece. By accessing or using this Platform, Users (hereinafter referred to as “you”, “your”) agree to be bound by the following Terms of Use (hereinafter referred to as “Terms”).

Please read them carefully before proceeding with any booking. If you do not agree with these Terms, you must not use the Platform.

Renaissance Hellas S.A. is the official and exclusive provider of accommodation and transportation services for the 12th WIKF Global Cup 2026. Our goal is to make your stay in Athens smooth, comfortable, and stress-free. Below is a clear and friendly overview of how everything works.

There are no external websites, no online booking forms, and no third-party agents. You will receive full details, pricing, and confirmation directly from our team.

·      Standard Packages that correspond to bookings from Oct 20 (check in) till Oct 26 (check out) are listed on this Platform and are booked directly online through our secure booking system.

·      Packages listed are per ROOM (not per person).

The platform is available for individual bookings. We offer 4 different Package choices which are the following:

• 3-Night Package
• 4-Night Package
• 5-Nights Package
• 6-Nights Package

* In each package, you can book maximum 2 rooms.

* In case you wish to book more than 2 rooms for a specific package, please contact us offline at wikf.gr@renaissance-hellas.com

* In case you wish to book 2 different packages or more (for example: 3-Night & 4-Night), you can book maximum 2 rooms for each package (for example: 2 rooms for 3-Night & 2 rooms for 4-Night)

Purpose of the Platform

The Platform is designed to facilitate the reservation of packaged services for participants and attendees of the Karate Championship and their family and friends. The Platform acts solely as a booking interface for accommodation packages & transfers from hotel to Stadium and back to the hotel during the dates October 23, 24 & 25.

Platform is not responsible for conducting the sports event itself.

Eligibility

By using the Platform, you represent and warrant that:

·       You are at least 18 years old.

·       You have the legal authority to enter into binding agreements.

·       You will provide accurate and complete information during the booking process.

·       For minors participating in the event (children/teenagers):

- For Children 12yrs and below, at least one adult parent needs to be staying in the same room. The booking will have to be made by the Parent. Parent will be responsible for the actions of the children.

- For Minors (13-17), at least one adult (Guardian) needs to be staying in the same room. The booking must be made by the Guardian who escorts the children. Guardian will be responsible for the actions of the Minors for any incident that might occur.

·      (1 PERSON) - SINGLE ROOM

·      (2 PERSONS) - TWIN (2 separate beds) ROOM

·      (2 PERSONS) - DOUBLE (1 double bed) ROOM

·      (3 PERSONS) - TRIPLE ROOM

·      (Family of 3: 2 Adults + 1 child up to 12yrs) 1 DBL ROOM with 1 EXTRA BED (90cm x 2m) for TRIPLE USE

Note: For Families of 4 members, 2 x double or 2 x twin rooms Interconnecting can be offered (Interconnecting option is subject to hotel’s availability)

All room numbers and types are offered on a first-come, first-served basis.

Ilissia Hotel available Room Types

·      (1 PERSON) - SINGLE ROOM

·      (2 PERSONS) - TWIN (2 separate beds) ROOM

·      (2 PERSONS) - DOUBLE (1 double bed) ROOM

·      (Family of 3: 2 Adults + 1 child) 1 DBL ROOM with 1 EXTRA BED (81cm x 1.90m) for TRIPLE USE

Note: For Families of 4 members, 2 x double or 2 x twin rooms Interconnecting can be offered (Interconnecting option is subject to hotel’s availability)

All room numbers and types are offered on a first-come, first-served basis.

Types of Accommodation Packages

The Platform offers accommodation packages per room (not per person). Prices, inclusions, and availability will be displayed during the booking process. The available package durations are:

·       3-night package 

·       4-night package

·       5-night package

·       6-night package

Each package includes the accommodation of one room for the listed number of nights.

Packages include:

·       Your selected number of nights (specified in each package).

·       Daily American buffet breakfast.

·       Hotel taxes including Government Climate Resilience Tax

·       Round-trip transportation (by minivans or motorcoaches) for the people occupying each room, between the hotel and stadium on competition days (October 23, 24 & 25)

What’s Not Included

To keep packages flexible, the following services are NOT included:

·       Airport transfers (available at special event rates - requested separately)

·       Lunches and dinners

·       Tours and excursions

·       Porterage services

·       Flight tickets and airport taxes

·       Visa costs and travel insurance

·       Personal expenses such as minibar, phone calls or room service

·       Transfers between Ilisia Hotel and President Hotel for seminar days (optional add-on)

Event Transportation

·       Transport schedules will be arranged and coordinated according to the event program

·       Pick up times (from Hotel / From Stadium), will be communicated on early October to all the Head Coaches/Leaders of each country by e-mail (by the championship Organizer).

Your pick-up times will be in accordance with the time of your competition in each given category.

For other Services/bookings such as:

For other Services such as: Hotel stay exceeding the period of October 20 (check-in) / October 26 (check-out),

Hotel Check-In and Check-Out Procedures

The Check-In & Check out Procedures will be made by the Renaissance Hellas Hospitality desk that will be located at the Lobby areas of the Hotels.

President Hotel: Check-in at 15:00 / Check-out at 11:00
Ilisia Hotel: Check-in at 14:00 / Check-out at 12:00

Early check-in and late check-out are subject to availability and may involve an extra charge.

Important Notes & Payment terms:

• All prices displayed on the Platform refer to the entire room for the selected number of nights.
• Full payment is required at the time of booking.
• Payment can be made by a valid credit card (VISA or MASTERCARD). American Express card is not accepted.
• You authorize the Platform to charge the full amount to your selected payment method.

Changes, Cancellations & Refunds

Requests for changes or cancellations can be made offline by e-mailing to Renaissance Hellas S.A. at wikf.gr@renaissance-hellas.com  (not through the on-line platform)

TOTAL CANCELLATION

·      From day of booking till 120 days prior to check in date, in case of total cancellation, 40% penalty will be charged

·      From 119 days prior to arrival till 60 days prior to check in date, in case of total cancellation, 80% penalty will be charged

·      From 59 days prior to arrival till 21 days prior to check in date, in case of total cancellation, 90% penalty will be charged

·      From 20 days prior to arrival till check in date, in case of total cancellation, full penalties (100%) will be charged

PARTIAL CANCELLATION

·      3NIGHTS PACKAGE: Since the 3NIGHTS Package is the minimum stay package, in case of any cancellation, full penalties apply.

·      4NIGHTS PACKAGE AND ABOVE:

-  From day of booking till 60 days prior to check in date, you may cancel:

o   For bookings consisting of 1 room up to 9 rooms: 1 night may be cancelled

without any penalty. For any further cancellation, full penalties will be charged.

o   For bookings consisting of 10 rooms and above: 1 night may be cancelled without any penalty or alternatively, 1 room may be cancelled for all the nights, without any penalty. For any further cancellation, full penalties will be charged.

-  From 59 days till check in date, any room canceled will be subject to full penalties (100%).

The Platform is not responsible for travel disruptions, event cancellations, or personal circumstances that prevent attendance.

User Responsibilities

By using the Platform, you agree to:

• Provide accurate and truthful information.
• Not make fraudulent or speculative bookings.
• Not use automated systems to interact with the Platform.
• Comply with accommodation rules provided upon booking.

Misuse of the Platform may result in cancellation of your booking or denial of service.

Liability Disclaimer

The Platform:

• Acts solely as an intermediary between users and the accommodation provider.
• Is not liable for issues arising from the accommodation facility, including but not limited to service quality, cleanliness, safety, or incidents during your stay.
• Is not responsible for the conduct of participants or attendees of the Karate Championship.

To the maximum extent permitted by law, the Platform shall not be liable for any indirect, incidental, or consequential damages related to your booking or use of the Platform.

1. Introduction: Renaissance Hellas S.A. (hereinafter referred to as "we," "us" or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your personal information when you use our official booking platform for the 12th WIKF Global Cup 2026 in Athens.

As the official provider of accommodation and transportation, we operate in strict compliance with the General Data Protection Regulation (GDPR) (EU) 2016/679 and relevant Greek legislation.

2. Information: We collect only the data necessary to process your booking and ensure a safe stay. This includes:

·      Personal Identification: Name, surname, nationality, passport/ID number (if required by hotel regulations).

·      Contact Details: Email address, phone number.

·      Booking Details: Check-in/out dates, room type, hotel preference (President or Ilisia Hotel).

·      Payment Information: Credit card details (processed securely via our payment gateway partners) and billing address.

·      Data of Minors: Full names and ages of children/teenagers participating in the event or staying as guests.

3.    Special Protection for Minors: We understand the sensitivity of handling data  regarding minors (under 18 years old).

·    Collection: We do not knowingly collect personal data directly from minors. All data regarding guests under 18 must be provided by a parent, legal guardian, or authorized adult escort (as defined in our Terms of Use).

·      Purpose: Data of minors is used solely for room allocation, age verification for hotel policies, and safety coordination during transport.

4. How We Use Your Data: Your data is used for the following purposes:

·      Service Fulfillment: To finalize your reservation at President Hotel or Ilisia Hotel and arrange your transportation to/from the stadium.

·      Communication: To send booking confirmations, updates about the event logistics, or respond to your inquiries.

·      Payments: To process the required payments and the "Climate Resilience Tax" as per Greek law.

·      Legal Compliance: To comply with Greek tax authorities and hotel registry regulations.

5. Data Sharing and Third Parties: We do not sell your data. We only share necessary information with trusted third parties involved in your stay:

·      Accommodation Providers: Your name and booking details are shared with the hotel you selected (President Hotel or Ilisia Hotel) for check-in purposes.

·      Transport Providers: Passenger lists (names) may be shared with our transport partners for logistics and safety during stadium transfers.

·      Payment Processors: Payments are processed through a secure banking gateway. We do not store full credit card numbers on our servers.

·      Authorities: If required by law (e.g., police or tax authorities).

6. Data Retention: We retain your personal data only for as long as necessary to fulfill the booking and comply with legal obligations (e.g., tax records). After the retention period expires, your data will be securely deleted or anonymized.

All services follow Greek law and mandatory local hotel regulations, including the Climate Resilience Tax, which must be prepaid together with your reservation.

Governing Law & Jurisdiction

These Terms are governed by Greek law. Any disputes arising under these Terms shall be resolved exclusively by the competent courts of Athens, Greece.

Amendments to Terms

The Platform reserves the right to update or modify these Terms at any time. Updates will become effective upon posting. Continued use of the Platform constitutes acceptance of the revised Terms.
